Many hands make light work. Knowledge is Power. Strength in Numbers. Cliche's aside, without a committed few, not many tours get past the idea stage. Here is our guide to forming a crack squad of tour experts.

Forming a Tour Committee

In short, the running and organisation of a major tour is often left to an enthusiastic person or persons who have the determination and ambition to provide their peers and team with the tour of a lifetime. Without this, it would be extremely difficult to get past the early stages.

Forming a committee should be the first thing you do when planning a tour. The information gathered in the early stages from a variety of sources can give you a good idea about the trip you undertake. It is therefore necessary that several people are unleashed on the search.

The first key Role is Fundraiser. The person in charge of gathering sponsorship, organising events and keeping everyone focused on hitting the budget. This person must be organised, hugely enthusiastic and imaginative. While we go into it in a little more detail elsewhere in this section, funds can be gathered and acquired from a myriad of places.

The Tour Leader

The first role should be that of Tour Leader. The ultimate decision maker. More often than not, the choice of destination, number of games, budget, provider of playing kit will come to a vote - the Leader must have the ability to make a determined decision, while being granted the ability from the rest of the committee to do so. The leader would generally be the team coach, manager or administrator. It also tends to be a person who has managed projects professionally, or relishes large responsibility effectively.

However, he or she cannot do it all on their own. There are a number of roles to be undertaken. Who is going to gather the finances, who is going to order the tour kit, who is going to chase the team for a commitment or overdue payments? At this stage, it is essential to way up each committee member's strengths and allocate roles accordingly.

The Fundraiser

The Administration Team

Next, the Administration Team, are equally as vital. This team will comprise of two to three people, each of whom take on the responsibility of running the book, ensuring payments both in and out are done on time, all insurance is in place, the permission to tour documents are completed in good time, and all the tourists details from shirt collar size to passport expiry date are collected, logged and recorded.

There are then a number of tertiary jobs that maybe aren't the deciding factor on whether the tour goes ahead, but they can often make a good tour an exceptional one.

The Kit Man
